48–72 Hours Before Event
Confirm event details with host: date, time, location, parking, entrance
Confirm candidate is confirmed on schedule; no conflicts
Obtain guest list / attendee count from host
Research key attendees: elected officials, donors, party leaders
Prepare candidate briefing packet (event brief form)
Confirm media presence with host; alert Communications Director
Identify and brief any on-site campaign staff or volunteers
Confirm audio/visual needs: podium, mic, backdrop availability
Check venue for Tracy signage opportunities; coordinate sign delivery if needed
Confirm nearest hospital and emergency contacts for the location
Scout travel route; confirm drive time from previous event
Identify designated greeter / escort from host organization
Confirm candidate talking points with Political Director
Prepare printed briefing packet for candidate travel folder
Day Before Event
Re-confirm event details with host contact
Final check on guest list additions or notable attendees
Confirm candidate travel logistics: driver, route, ETD
Prepare materials: business cards, literature, sign-in sheets if needed
Check local news for any developments relevant to the event or audience
Confirm staff assignments and check-in protocol on site
Ensure candidate has talking points and briefing packet
Identify and brief any surrogate or elected official appearing with candidate
Confirm post-event plans: next stop, debrief, travel
Charge all devices: phones, camera, recording equipment
Day of Event — Arrival & Setup
Arrive at venue minimum 45 minutes before candidate arrival
Introduce yourself to host / event organizer on site
Walk the venue: entrance, parking, holding area, stage/podium, exits
Confirm audio: test microphone and podium height
Confirm backdrop / signage placement and Tracy branding visibility
Identify staff positions: greeter, rope line, photographer, press handler
Set up literature table if applicable
Confirm no protest or opposition activity outside venue
Brief any on-site volunteers on candidate arrival protocol
Confirm media check-in location and press area if press is present
Test parking and walk path from candidate drop-off to entrance
Position photographer with clear line of sight to podium
Have candidate briefing packet ready for holding room review
Establish communication with driver: confirm ETA 20 minutes out
Candidate Arrival
Meet candidate at designated entrance — never the main public entrance
Escort directly to holding room or private area
Brief candidate: run-of-show, key attendees, talking points, any alerts
Ensure candidate has water and a few minutes to review briefing
Introduce candidate to host / organizer before entering main event
Confirm candidate is aware of any media present and agreed interview requests
Confirm any special introductions or acknowledgments to make from podium
Alert photographer to candidate movement
Give candidate 2-minute warning before introduction
During Event
Monitor event from the room — watch audience reaction and energy
Manage rope line / photo line: keep line moving, no prolonged conversations
Alert candidate discreetly if time is running short
Capture any notable quotes, endorsement conversations, or opportunities
Monitor media presence — note any reporters, on-air talent, or cameras
Document attendance estimate
Flag any issues to Communications Director in real time
Ensure photographer has coverage: podium, rope line, with key officials
Note any constituent concerns raised for Political Director follow-up
Departure & Wrap
Give candidate 10-minute departure warning
Coordinate departure with driver: vehicle staged at designated exit
Clear a path from candidate to exit — avoid lingering rope line
Retrieve any campaign materials, signs, literature left on site
Thank host personally on behalf of the campaign
Collect any business cards or follow-up contact info from key attendees
Alert next-stop advance staff or driver of departure
Document final attendance count and notable attendee interactions
Post-Event Debrief (within 24 hours)
Submit post-event debrief to Political Director and Scheduler
Log any endorsement leads or follow-up commitments for Political Director
Send thank-you note to host from candidate / campaign within 24 hours
Upload event photos to campaign shared drive
Flag any media inquiries received on-site to Communications Director
Note any venue, logistical, or security issues for future reference
Log event attendance and outcome in campaign tracking system
